Education - Approval

A comprehensive guide to managing employee education data approval in the Approval - Education menu, including viewing statistics, filtering, processing status (pending, approved, rejected), and diploma verification.

Overview

The Education menu in the Approval section displays all employee education data that needs to be verified and approved. This feature allows you to manage employee education history from middle school to undergraduate level, including verification of institutions, graduation years, and supporting documents.

The Education page is located in the Approval » Education menu.

Education Statistics

At the top of the page, a summary of education data statistics is displayed in card format:

Education List View

This page displays a table listing all employee education data with complete information.

Search Feature

A search column is available at the top of the table to easily find education data based on:

  • Employee name
  • Employee code / ID
  • Education level
  • Major
  • Institution
  • Institution address

Search placeholder: "Search by employee name, code, education, major, institution, or address..."

Table Structure

The table displays the following columns:

Education Status

There are 3 education data statuses:

Certificate Status

The Certificate column displays information about supporting document attachments:

Education Levels

Here are commonly appearing education levels:

Actions on Education Data

Several actions can be performed on education data:

Viewing Education Details

To view complete education data details:

  1. Click the View icon (👁️) on the desired row
  2. A popup/drawer will appear displaying:
    • Complete education information
    • Preview of diploma/certificate file (if available)
    • Data change history

Approving Education Data

  1. Select education data with Pending status
  2. Click the Approve icon (✓) on that row
  3. Confirm approval in the dialog that appears
  4. Status changes to Approved

Note: Approved education data will be entered into the employee's education database and can be viewed in the Employee Database menu. :!

Rejecting Education Data

  1. Select education data with Pending status
  2. Click the Reject icon (✗) on that row
  3. Enter the reason for rejection in the form that appears
  4. Confirm rejection
  5. Status changes to Rejected

Deleting Education Data

  1. Select the education data to be deleted
  2. Click the Delete icon (🗑️)
  3. Confirm deletion
  4. Data will be permanently deleted from the system

Caution: Deleting education data is permanent. Ensure the data being deleted is truly unnecessary or is duplicate data. :!

Multiple Selection

You can select multiple education data items at once for processing:

Selected document indication:

  • A notification "1 item(s) selected" will appear (or according to the count)
  • Bulk action buttons (Approve, Reject, Delete) become active
  • Can perform actions for all selected data

How to select multiple items:

  1. Check the box to the left of each row you want to select
  2. Or use the checkbox in the header to select all on the page
  3. The number of selected items will be displayed at the top

Bulk Actions

After selecting several items, you can perform bulk actions:

Columns

Click the Columns button to configure which columns appear in the table:

  • Check/uncheck columns you want to display
  • Arrange column order with drag and drop
  • Reset to default settings

Filters

Click the Filters button to filter education data based on:

Filter by:

  • Status (Pending, Approved, Rejected)
  • Education (Bachelor's, Middle School, High School, Diploma, etc.)
  • Graduation Year
  • Employee (Specific employee)
  • Date Range (Submission date range)
  • Certificate Status (With/Without attachment)

Export

Click the Export button to export table data to the following formats:

Education Data Verification

Things to verify when processing education data:

1. Data Completeness

  • Education level is filled
  • Major is filled (except for Middle/Elementary School)
  • Institution name is complete and clear
  • Graduation year is valid

2. Data Consistency

  • Graduation year aligns with employee's age
  • Education levels are sequential (Middle School → High School → Bachelor's)
  • No duplicate data

3. Supporting Documents

  • Diploma/certificate file is attached (if required)
  • File can be opened and read
  • Name on diploma matches employee data
  • Year on diploma matches input

Usage Tips

  1. Check Completeness - Ensure all fields are filled correctly before approving.
  2. Validate Institution - Check if the institution name is written correctly and completely.
  3. Check Graduation Year - Ensure the graduation year is reasonable (not in the future for fresh graduates).
  4. Watch for Duplicates - Be aware of duplicate data for the same level and institution.
  5. Use Filters - Utilize status filters to focus on data that needs processing.
  6. Document Rejections - Always provide clear reasons when rejecting so employees can make corrections.
  7. Bulk Actions for Efficiency - Use multiple selection to approve similar data at once.

Common Scenarios

Scenario 1: New Education Data

Employee submits latest education data (e.g., newly graduated with Bachelor's):

  • Initial status: Pending
  • Requires diploma verification
  • After approval: Status Approved, data enters education history

Scenario 2: Data Correction

Employee submits correction for incorrect education data:

  • Old data will be deactivated or revised
  • New data appears with Pending status
  • Requires comparison with old data

Scenario 3: Data Without Diploma

Employee fills in education data but does not attach a diploma:

  • Status: Pending
  • Certificate column: No Attachment
  • Need to consider company policy (is diploma mandatory?)

Troubleshooting

Data Does Not Appear in Table

  • Check if status filters are appropriate
  • Ensure no search filters are limiting the results
  • Try refreshing the page
  • Check internet connection

Failed to Approve/Reject

  • Ensure status is still pending (not yet processed by someone else)
  • Ensure you have approval access rights
  • Try refreshing the page
  • Logout and login again

Action Buttons are Disabled

  • Ensure you are selecting data with the appropriate status
  • For bulk actions, ensure all selected data have the same status
  • Check if the data has been processed by another user

Export Failed

  • Ensure there is no popup blocker
  • Limit the amount of data being exported if too large
  • Try CSV format if Excel is problematic
  • Clear browser cache

Employee Database

Approved education data will be stored in the Employee Database menu under the employee's Education tab.

Approval - Documents

Supporting documents such as diplomas can be uploaded and managed in the Approval - Documents menu.

Employee Profile

Approved education data will appear in the employee's profile.
